How to Get Access to Updated Global Addresses

A Global Address List (GAL) is a collection of mail-enabled recipient objects from Active Directory. It's a central repository for all email users, allowing for a streamlined electronic communication process. For larger organizations, the GAL is a vital tool in enabling smooth email communications.



The global address list is also an inventory of Exchange resources, including distribution groups. It can be configured as the default address book for Outlook. Generally, the IT department handles the maintenance of the GAL. To update the list, use the command line interface for Exchange Online Powershell. This will require a minimum of five minutes.

As an alternative to the command line, users can perform the same operation via the Outlook Web Access (OWA) application. EWA offers a variety of options for downloading and viewing the GAL. These include the global address list, the address book, and the recipient address list. Users can also configure public folders as mail-enabled folders.

There are many tools available for updating the GAL, including the Exchange Management Shell. However, if your organization uses Exchange on premises, you may need to contact your IT department to help out. Getting started is easy.

Managing the GAL is no different from managing the rest of your email client. Although the Global Address List is a complex entity, there are a few steps you can take to make it simpler to use. In particular, the most obvious step is to assign permissions to users who will be editing and managing the list.
